STUDENT GRANT PROGRAM GUIDELINES
FOR THE PREPARATION OF DISSEMINATION REQUESTS
The Student Grant Program Committee issues this request for dissemination award applications for the 2008-2009 academic year to aid graduate, law, and undergraduate students at the University of Idaho in disseminating the results of their research, scholarly and creative activities. There are four submission deadlines offered throughout the academic year and students may apply for the funding periods immediately before and/or after their work is disseminated.
The funding period is for six months from the distribution date. Request quality is important and the process is highly competitive. It is strongly recommended that colleagues review your request prior to submission.
Deadlines: All materials are due by 3pm either by email (sgp@uidaho.edu) or delivered to the University Research Office, Morrill Hall RM 114 by the following dates:

Awards: The SGP committee has set aside $35,000 for dissemination awards to be dispersed during the 2008-2009 academic year. Students may request up to $1,500.

MISSION
The primary purpose of the Student Grant Program is to promote and support student research, scholarship, and creative activity at the University of Idaho with a program funded by students, administered by students and available to undergraduate, graduate and law students, at the University of Idaho.
COMMITTEE STRUCTURE AND FUNCTION
Structure of the Student Grant Program Committee
The Student Grant Program (SGP) Committee is comprised of ten students representing the ten colleges at the University of Idaho, along with a representative from the University Research Office (URO). The college representatives are chosen by their college and include graduate, law, and undergraduate students. The students are the voting members of the committee; the URO representative advises the committee.

Function of the Student Grant Program Committee
The Student Grant Program Committee has the power to:
1. Set policy for the Student Grant Program, and
2. Allocate such funds as it has at its disposal to eligible graduate, law, and undergraduate students at the University of Idaho for research, scholarly, and creative activities.
GRANT PROCUREMENT
Eligibility
Any on-campus (Moscow, ID) full-time, fee-paying student who is currently enrolled and working toward a graduate, law, or undergraduate degree at the University of Idaho at the time of application may apply for grant funds administered by the Committee. The committee also encourages inter-disciplinary and group projects. An individual student may participate on only one research grant proposal per funding period. A person may apply for a research grant and dissemination funds during the same funding period. Those who have received an SGP award in previous funding periods are eligible to apply as long as all reports for prior awards have been submitted.
Definition of Research
In accordance with its purpose and with the procedures and conditions described below, the Committee allocates monies to eligible students within the University for the purpose of conducting research. As defined by the University of Idaho Faculty Staff Handbook, research is “… critical and exhaustive investigation or experimentation having for its aim the discovery of new facts and their correct interpretation, the revision of accepted conclusions, theories, or laws in the light of newly discovered facts, or the practical application of such new or revised conclusions, theories, or laws. . . ." For the purpose of this committee, "research" includes not only the sense of the above definition, but also those investigations, experiments, and creative activities that are characteristic of, and appropriate to, the fine arts.
Description of Research Grant Funding Category
Dissemination Funds are awarded on a competitive basis for the dissemination of research and its results whether or not the research had been previously funded by the Committee. The research findings to be disseminated must have been developed by the applicant and must have been completed prior to the request for dissemination. Dissemination is here understood to mean any exposure through publication, presentation, or exhibition that will inform others interested in the research topic. Funds may be used for the reimbursement of travel expenses to the dissemination site (e.g. traveling to conferences/exhibitions) or expenses associated with the dissemination (e.g. registration fees, publication costs, or exhibition setup). Preparation of theses or dissertations is not eligible for funding.
Format For Dissemination Requests
1. RequestFormat: The Committee will not consider any proposals that do not conform to the following proposal format. Should an applicant need to deviate from the specified format, a written statement describing the extent of the deviation and giving the reasons for it must accompany the proposal. Use single spacing and a 12 pt. font with one-inch margins. Extra materials will not be considered or evaluated. The following is a checklist of sections that must be provided in the proposal packet:

2. Description of Request Sections: All sections should be completed such that the entire packet can be submitted electronically as a PDF file.
a. Cover Letter (1 Page): Provide a cover letter that, at a minimum, concisely states the following:
1) The type of dissemination you will be conducting
2) The importance of your work to your academic career as well as to the university and your field of study, and
3) A statement of need summarizing available funding (or lack thereof) for your work.
b. Statement Dissemination Request Form (1 Page): Complete the provided dissemination request form, filling in all information where applicable (e.g. if you are not publishing your work, you do not need to indicate the publication name and type). If your dissemination does not neatly fall into the categories of publication or conference/exhibit, you must include statements (either in the cover letter or as an additional page) that clearly justify your type of dissemination and clarify your expenses. Dissemination Request Submission
The applicant may apply for Dissemination Funds by completing and submitting their Cover Letter and Dissemination Funds Form to the University Research Office, Morrill Hall RM. 114, no later than the submission deadlines noted at the beginning of this document in order to be considered by the committee.
COMMITTEE PROCEDURES AND POLICIES ON EVALUATING PROPOSALS
Preliminary Evaluation
The Committee will meet for a preliminary evaluation of all proposals. Should any additional information be required from the applicant, the applicant will have 5 calendar days from the date of written notification to make those changes and resubmit them to the Office of Sponsored Programs, Morrill Hall RM 114. Only those pages that require revision are to be returned to the Committee. If additional revisions are made, the proposal will be disqualified.
The Student Grant Program Committee reserves the right to disqualify research grant proposals or requests for dissemination funds that do not meet the requirements of these guidelines. All proposals will be considered on a competitive basis.
Committee Allocation of Funds
Final funding decisions will be based on request quality, impact on the student, and impact on the University of Idaho. Priority will be given to first-time participants in a conference, exhibit or publication. The Committee may require modifications in the budget as a condition of funding. Applicants will be notified of the committee’s decision within two weeks of the submission deadline.
INSTRUCTIONS FOR AWARDEES
Applicants for monies allocated by the Committee are expected to adhere to the highest professional and ethical standards in the conduct of their research.
Reimbursement Guidelines
SGP Dissemination Award recipients may be reimbursed for allowable expenses after dissemination is completed. Requirements for reimbursement include proof of dissemination, original receipts, and a completed reimbursement form. The SGP does not reimburse expenses purchased with bonus points (e.g., frequent flyer programs), vouchers, or any other form of in-kind payment (http://www.baas.uidaho.edu/default.aspx?pid=86085).
1. Request for Reimbursement: The request for reimbursement must contain the following:
a. Reimbursement Form: fill out and include the provided reimbursement form that details dissemination expenditures.

b. Dissemination summary: In simple, clear, and non-technical language describe the dissemination that was conducted as well as the dissemination venue. Thesis/Dissertations are not acceptable as dissemination summary.
c. Proof of Dissemination: Provide proof of dissemination. Acceptable forms of proof include: acceptance letters, confirmation of registration, publication copies, photos, etc.
d. Original copies of all receipts relevant to the reimbursement.
2. 2. Request for venue or budgetary shift. Any change in venue or budgetary shift of more than 15% requires a formal written request through the SGP Dissemination Coordinator that includes a full description of the requested changes and reasons for the changes. The request must be approved by a two-thirds vote of the Committee.
Reimbursement Process
Awardees must make an appointment with the SGP Dissemination Coordinator, at which time the awardee will present his/her proof and summary of dissemination, original receipts, and the completed reimbursement report. The SGP Dissemination Coordinator (see website for current coordinator) will confirm that the requested reimbursement expenses are allowable and will then process the request. Requests must be submitted within 30 days of the end of the funding period, otherwise funds will be put back in the general pool of money for other applicants.
